A WhatsApp AI agent is an AI assistant connected to your business WhatsApp number. The agent reads incoming messages, works out what the customer wants, looks up information or takes actions in your systems, and replies in seconds. Bookings, orders and CRM records stay in sync.
WhatsApp has more than 2 billion users. For many of your customers, WhatsApp is the first place they message a business. An AI agent on WhatsApp meets them there.
What a WhatsApp AI agent does
- Answers product, pricing and policy questions from your own information.
- Checks order, delivery or booking status.
- Books, moves or cancels appointments.
- Qualifies leads and logs them in your CRM.
- Collects documents or details from customers.
- Hands the chat to a person, with a summary, when needed.
Use the official WhatsApp Business Platform
Connect a customer-facing agent through Meta's WhatsApp Business Platform (the Cloud API), either directly or through an approved business solution provider.
Avoid tools which automate the regular WhatsApp or WhatsApp Web app for customer messaging. These tools break WhatsApp's terms of service. WhatsApp restricts or bans numbers using them. Your main customer channel is too important to risk.
Four platform rules shape how your agent behaves:
- Opt-in. Customers start the conversation or give permission to receive messages.
- The customer service window. After a customer messages you, you reply freely for a limited window, 24 hours at the time of writing.
- Templates outside the window. Business-initiated messages such as reminders and follow-ups use pre-approved message templates.
- Pricing. Meta charges for some message types, and rates vary by country and category. Check Meta's current rate card before you plan volumes.
How the system fits together
- A customer sends a message to your WhatsApp Business number.
- WhatsApp sends the message to your server through a webhook.
- Your agent service passes the message, chat history and business rules to an LLM.
- The LLM answers directly or calls a tool: check a booking, look up an order, create a lead.
- The tool talks to your systems (booking software, store, CRM, database) and returns the result.
- The agent writes a reply and sends the reply through the WhatsApp API.
- The system logs every step. Chats needing a person appear in a shared inbox.
Step by step: build your agent
1. Define one clear job
"Answer questions and manage bookings for our clinic" is a good scope. "Handle everything on WhatsApp" is too broad for a first version.
2. Set up your WhatsApp Business account
Verify your business with Meta, pick the phone number for the agent and set your display name and profile.
3. Prepare your knowledge and policies
Write down the answers your best team member gives: services, prices, hours, delivery areas, refund rules. Keep the information current. The quality of every answer depends on the information.
4. Connect the tools
Give the agent specific, limited tools: check_availability, create_booking, get_order_status. Each tool does one job and checks permissions.
5. Design the guardrails
- Confirm before booking, cancelling or changing anything.
- Never collect card details or passwords in chat. Send a secure payment link instead.
- Hand over to a person when the customer asks, shows frustration or goes outside scope.
- Set daily limits and track costs.
6. Test with real conversations
Use real past messages, including confusing ones, typos and mixed languages. Fix the knowledge and rules until the answers are right.
7. Launch, monitor and improve
Start with part of your traffic or limited hours. Review chats every week. Track resolution rate and handover rate, and keep improving.
Best practices
- Tell customers they are chatting with an AI assistant.
- Keep messages short. WhatsApp is not email.
- Use buttons and lists for choices such as time slots.
- Make the human handover fast and obvious.
- Support your customers' languages.
- Respect quiet hours for business-initiated messages.
When to bring in help
A simple FAQ bot takes little setup. An agent which books, updates and follows up inside your real systems needs careful engineering: webhooks, tools, permissions, logging and handover. Our AI agent development team does this work every day. Our AI automation services cover the scheduled WhatsApp reminders and follow-ups around the agent.
