AI document processing uses AI to read documents and turn them into structured data. You upload an invoice, an ID card or a form. The AI returns the fields you need, such as supplier name, total amount or expiry date. Your systems receive clean data without manual typing.
How AI document processing differs from classic OCR
Classic OCR turns an image into text. You still need rules to find the right field in the text, and a template breaks when the layout changes.
AI models read a document the way a person does. The model finds "Invoice total" on any layout, reads handwriting in many cases and returns the result in the format you ask for. One setup handles invoices from many suppliers.
Documents worth automating
| Document | Fields to extract | Where the data goes |
|---|---|---|
| Supplier invoices | Supplier, invoice number, date, tax, total | Accounting sheet or ERP |
| Receipts | Merchant, date, amount, category | Expense tracker |
| Passports and ID cards | Name, number, nationality, expiry date | HR system |
| Contracts | Parties, start date, end date, renewal terms | Contract register |
| Application forms | Applicant details, answers | CRM or database |
| Delivery notes | Items, quantities, reference numbers | Inventory system |
How the workflow runs
- Capture. Documents arrive by email, upload, WhatsApp or a scanner.
- Classify. The AI identifies the document type.
- Extract. The AI reads the fields for the document type and returns structured data, for example JSON.
- Validate. Rules check the result: dates in the right format, totals adding up, required fields present.
- Review. A person checks low-confidence results and high-value documents.
- Send. The system writes the data to your accounting tool, HR system or database and files the original.
Build in checks
Every extraction needs checks. Add these:
- Format checks. Dates, currency and ID numbers in the expected pattern.
- Math checks. Line items add up to the total.
- Cross-checks. The supplier exists in your system and the employee ID matches a record.
- Duplicate checks. The system flags a repeated invoice number from the same supplier.
- Human review for anything failing a check, plus a weekly sample of passed documents.
Example: our AI HR Portal
Our AI HR Portal uses Google Gemini to read passports, visas, ID cards and trade licences. After upload, the portal fills in the company or employee record and schedules expiry reminders. A person reviews the extracted fields before saving. Read AI automation in HR for the full workflow.
Measure the impact
Privacy and security
Passports and contracts hold personal data. Before you start:
- Check where the AI provider processes and stores data.
- Limit who sees extracted data with role-based access.
- Set retention rules for originals and extracted data.
- Self-host the workflow when your policies call for self-hosting.
How to start
- Pick the document type with the highest volume.
- Collect 50 real samples, including poor scans.
- List the fields you need and where each field goes.
- Test extraction on the samples and measure accuracy per field.
- Add checks and a review step, then go live.
